Participant Terms and Condition
Scripture Union Service Limited (ABN 53 681 642 927), commonly known as Scripture Union Australia or SU Australia, along with our related entities, collectively referred to as the SU Australia Group, recognise the importance of privacy and are committed to protecting the personal information of the participants of our events and programs. The information we seek allows us to manage risk, provide reasonable care, and administrate your involvement in our program.
This policy applies to all our related bodies, including:

Registration and Participation:

Cancellation Policy: On the rare occasion that a camp, event or program must be cancelled due to unforeseen circumstances such as low enrolment or safety concerns, we will strive to place your child in an alternative camp or provide a refund.

Camper Information: Prior to camp, you will receive a Camper Letter detailing the program, essential items to bring, and site contact information. This letter may also include a form concerning travel arrangements and medication administration during the camp.

Financial Assistance: Financial support may be available for participants with genuine needs. Please contact the Event Team Leader for more information.

Booking and Enquiries: Bookings cannot be made over the telephone. However, we welcome enquiries via phone or our website su.org.au/events.

Late Cancellation Fee: A fee may be applied for late cancellations at the discretion of SU Australia.

Application Rejection: SU Australia reserves the right to reject applications at our discretion.
Participant’s Agreement with Scripture Union Australia:

Acknowledgment of Risks: Participation in the program may involve physical and emotional demands. I acknowledge the inherent risks associated with these activities and understand that while every reasonable effort will be made to minimise these risks, some may be unforeseeable or beyond control.

Medical Authorisation: In emergencies where my designated contacts are unreachable, I authorise the leaders to seek and secure any necessary medical advice or treatment, including the administration of anaesthesia.
- I authorise the leaders to obtain medical advice and/or assistance which they deem necessary.
- I further authorise qualified practitioners to administer anaesthetic if required.
- I accept all operation, blood transfusion and/or anaesthetic risks involved in the event that such procedures are deemed necessary.
- I accept the responsibility for payment and agree to pay medical, transport and any other related expenses.

Financial Responsibility: Parents / Guardians will accept responsibility for all costs related to medical care, transport, and other expenses that may arise due to an emergency.

Accuracy of Information: Parents / Guardians understand that they will need to confirm that all details provided in this application are accurate and will notify the Team Leader of any changes and when possible update there registration using the links provided at registration.

Care and Liability: I understand that event Team leaders will take all reasonable care of my child. However, SU Australia and its representatives will not be held liable for any injuries, accidents, or loss of property. I consent to and agree to bear the costs of any necessary medical treatment.

Behavioural Expectations: Participants demonstrating unacceptable behaviour may be sent home from the camp.
I am aware in agreeing to this document for my child’s participation in this program that certain elements of the program could be physically and emotionally demanding. Furthermore, I understand that certain inherent risks and dangers may exist in the activities in which my child will be participating. I acknowledge that while Scripture Union and its leaders will make every reasonable effort to minimise exposure to known risks, all hazards and dangers associated with these activities cannot be foreseen or may be beyond the control of Scripture Union, its Team Members and its staff.
Accessing or requesting a change to personal information
Destruction
SU Australia Group is committed to the safe and secure destruction of personal information when we no longer need to use that information for any permitted purpose under the Act, including those purposes set out in this policy and we are not required by law or court order to retain such information. This includes the disposal of physical records and electronic records.
SU Australia Group will not dispose of any record pertaining to children where a disposal freeze has been issued e.g. by the Queensland State Archives on 1 June 2018.
Access
You may request access to any personal information we hold about you at any time by contacting us (see Privacy Officer details). Where we hold information that you are entitled to access, we will try to provide you with suitable means of accessing it (for example, by mailing or emailing it to you). There may be instances where we cannot grant you access to the personal information we hold. For example, we may need to refuse access if granting access would interfere with the privacy of others or if it would result in a breach of confidentiality. If that happens, we will give you written reasons for any refusal.
Incorrect, incomplete or inaccurate personal information
If you believe that the personal information we hold about you is incorrect, incomplete or inaccurate, then you may request us to amend it. We will consider if the information requires amendment. If we do not agree that there are grounds for amendment then we will add a note to the personal information stating that you disagree with it.
Making a complaint
If you believe that we have breached the Privacy Act, or wish to make a complaint about the way we have handled your personal information, please contact the Privacy Officer using the contact information below and providing details of the incident or complaint so that we can investigate it.
